What the off-the-shelf products actually do well

The unpopular answer first. Most fabrication shops should buy, and a shop with eight welders, one repeat client and a stable product should buy the cheapest thing that keeps the paperwork straight.

Give the incumbents proper credit. Those arc data platforms are doing something genuinely hard. Reproducing per-weld parameter capture from a power source is not a software problem you should take on, and if your shop is single brand and your main concern is parameter drift, buying is not a compromise. It is the correct answer.

The documentation tools also absorb something you would otherwise own: the shape of a procedure qualification record and the essential variable tables behind it. That is code knowledge encoded once and maintained, and it is worth more than the subscription costs.

Where they stop: weld number 14 is not unique and the traveller is

A radiography report lands on Thursday. Three rejects on one spool. The client's inspector arrives Monday and will ask four questions: which welder, under which procedure, what is that welder's repair rate on this project, and what else has he welded on this order that has not been shot yet.

Answering that means a marked-up isometric for weld numbers, a binder for the continuity log, a folder of subcontractor reports and the production travellers from the floor. Three people spend Friday on it and the answer arrives Monday morning, late.

The reason is structural. Weld number 14 exists on this isometric, on the revision superseded last month, and on eleven other drawings across four jobs. On paper the drawing supplies the context. In a system it is the exact reason spreadsheet weld logs collapse past a certain size, and it is why packaged tools that start from the certificate rather than from the joint cannot answer the Monday question.

The second stopping point is that none of them model your production flow. The weld record has to travel with the spool through cutting, fit-up, welding, examination, post weld heat treatment, hydrotest and painting, gathering signatures at the hold points your quality plan defines and your customer's inspection and test plan adds. Your sampling rule, your repair authorisation route and your data book index are yours. That is why the paper traveller survives alongside the software: the software holds certificates and the traveller holds the process.

The third is qualification range. ASME Section IX defines what a welder qualification actually covers, meaning process, filler metal grouping, base material grouping, thickness and diameter range and position, with continuity maintained if the welder has used the process within the preceding six months. Those are rules, and rules are the easiest thing for software to check and the hardest thing for a supervisor to check at seven in the morning when he is two people short and the spool has to move. Most systems store the scanned certificate, which cannot stop a wrong assignment.

The arithmetic: licence cost against the cost to build

Run the licence maths honestly, because in this category it usually argues against building and you should know that before anyone quotes you.

A first release at $77,000, plus year two at 18 percent, is roughly $91,000 across two years, or about $3,800 a month. At $18 per welder per month across a documentation platform and an arc data platform together, the crossover sits near 210 welders. Priced instead on named seats for quality and engineering staff at $45 a month, it is about 84 seats. Very few fabrication shops carry either number, so licence fees alone will not carry this decision.

What carries it is labour and working capital, and both are measurable this week. First, time the traceability query: how many people and how many hours to answer the Monday question. Multiply by the number of rejects you handle in a year. Second, time the data book. Assembling drawings, material test reports, procedure and qualification records, weld maps, examination reports, heat treatment charts and hydrotest records is typically two to three weeks of a quality coordinator per job, and it commonly holds up final invoicing.

That second figure is the one nobody costs properly. Three weeks of delay on the final payment of a large contract is working capital sitting in a folder tree, every job, every year. Put a finance rate against it and the build case usually stands on that line alone rather than on any subscription you would cancel.

When five sources must agree on one weld identity, that agreement is the system.

How to decide in a week, then buy a written specification

Four tests, one week, no vendor involved.

Monday, pick a weld rejected in the last quarter and time how long it takes to list every other weld that welder made on that order. Tuesday, pick three welders and check whether each is currently within range and continuity for the joints they are assigned to right now. Wednesday, take last quarter's rejects and check whether the progressive examination expansion was actually applied every time, or applied on the days when the schedule allowed it. Thursday, ask your quality coordinator how many days the last data book took and when the final invoice went out.

Route anything uncertain to a human queue. Never let unreviewed extractions write to the register, because a wrong heat number in a code data book is worse than a missing one.

How do we handle progressive examination when a random weld fails?
