Each leg of a mine site already has a competent product behind it, and that is worth stating before anyone talks about a build. Scale house ticketing from packages such as WeighPay or Scale Softworks does the weight and the print reliably. Pre shift examinations run acceptably in SafetyCulture iAuditor. Survey and block modelling belong in Deswik, Maptek Vulcan or GEOVIA Surpac, and drone volumes come out of Propeller or Stockpile Reports. Maintenance sits in eMaint or UpKeep. Financials sit in Sage 100 Contractor or Viewpoint Vista. Caterpillar VisionLink and Komatsu KOMTRAX hold machine hours.

Those tools are not the problem, and most operators reading this should keep every one of them. A single pit selling one product over one scale is genuinely well served. The vendors have decades of domain knowledge inside their own leg of the triangle, and rebuilding any single leg is a poor use of capital.

Say the honest thing early. If your reconciliation is inside a percent, your dispatcher is not the only person who understands the shift plan, and you can produce ninety days of examination records without a bookkeeper losing a week, buy. Nothing on this page applies to you yet, and the money is better spent on a plant upgrade or on retaining a superintendent.

Where they stop: the survey to scale ticket gap nobody owns

Here is the workflow no packaged product models, because it sits between three of them. Month end. The survey crew flies the pit and gives you an end of month volume. The loader operators reported a bucket count. The scale house sold a tonnage. Convert the survey volume at your assumed density and the three numbers disagree. Was it density drift because the material got wetter, a bucket factor nobody has recalibrated since the last fleet change, a stockpile that was never surveyed as its own entity, or a truck that left the gate without a ticket?

Each system owns one leg and none of them owns the reconciliation. The survey package knows volume. The scale software knows sold tonnes. The dispatch board knows load counts. Three timestamps, three ideas of what a stockpile is, and no shared identifier for a load. So a superintendent forces them together in a workbook at eleven at night, badly, once a month, after the evidence has gone.

Compliance has the same shape. Under 30 CFR Part 56 a working place examination must be recorded before miners begin work, with hazards noted and corrective actions documented, and Part 46 or Part 48 training records must be produceable. Generic inspection apps treat a checklist as a document rather than as a record tied to a specific working place, a specific certified examiner and a corrective action with an owner and a close out date. They cannot show an inspector a continuous chain from hazard noted to hazard corrected to hazard verified, which is what a 104(d) order argument turns on. Nor do they know your examiner's certification lapsed last month.

The arithmetic: per seat and per ticket costs against custom development

Mining software rarely bills per tonne. It bills per named user and per site. Count yours honestly: dispatch and technical services seats, maintenance planner seats, inspection app licences at every supervisor, the scale house licence per weighbridge, and a per site fee on top. At $95 per user per month across 40 named users plus $600 a month per site across three sites, that is about $67,000 a year before the annual uplift, and every acquisition adds a site fee before it adds a tonne.

Put a build beside it. A $95,000 first release with $19,000 of migration, then $17,000 a year of support from year two, is roughly $36,000 a year over five years. On licences alone that crosses at about 22 named users on a single site, or two sites at any user count.

Which is why licence arithmetic is the wrong test here, and we would rather you knew that. The number that decides it is the ambiguity. On three million tonnes a year, a 3 percent unexplained gap is 90,000 tonnes. At a $14 sell price that is $1.26 million you cannot explain to a royalty holder, a bonding company or a buyer's diligence team. No licence saving is that size. Run the gap first, then the seats.

Four signals that make a mine site build worth it

Regulatory fit. Working place examinations, certified examiner status, corrective action close out and the training records behind Part 46 or Part 48 need to be one continuous record, geofenced so an examination cannot be created in the car park, and exportable in a minute rather than a week. No inspection app models a working place, because it is not their market.

Scale economics. Per site fees on a group that acquires. Every new pit adds licence lines before it adds production, and the seat count grows with supervisors rather than with tonnes. Model your bill at two more sites before your next renewal.

A workflow that is your competitive advantage. If more than about a third of outbound tonnage moves on trucks you do not own, your commercial edge is the ticket, not the pit. Rate and material spec validating at the weighbridge instead of at invoicing, tare weight anomalies flagged against that truck's own history, and a photographed load closing the dispute before it leaves the yard is a workflow no scale package will build for you.

Integration sprawl. Count the systems someone joins by hand each week: telematics, scale, survey, maintenance, inspections, the ledger. Past three, that person is the system, and the joins they perform exist in no document anyone else can read. A maintenance planner typing an hour meter reading from one portal into another on Mondays is not doing data entry. He is the interface, and he takes two Mondays off in a quarter.

Decide it in a week with one retirement test

Run the retirement test, and give it one day. Name the single spreadsheet that would hurt most if it were deleted tomorrow, then ask someone other than its author to answer three questions from it: how many tonnes moved from bench to crusher last Tuesday, which truck left the gate without a matching ticket in the last month, and which working place examination is currently open past 24 hours. Time each answer.

If all three come back inside the day, keep buying and renegotiate your seats. If the author is the only route to any of them, you are not running a mine on software. You are running it on a person, and the honest moment to start is roughly 18 months before they retire, not after.

Then buy the specification before the software. A paid discovery phase of two to three weeks should produce a signed product requirements document: the material movement event model, the reconciliation rules and tolerances, the examination and corrective action lifecycle, the offline and conflict policy, integration targets named by product and interface, and acceptance criteria another firm could quote against. Take it to three firms. You keep it either way.
