What Papertrail and the rental systems actually do well
A head of technical production reading this usually wants one thing: to produce, in minutes rather than days, the file that shows a rig was safe. Before any conversation about building, know that several products already do most of that.
Papertrail is the honest default for inspection records. It holds serial numbered items, inspection intervals, defect history and certificates, it works on a phone in a warehouse, and it was built by people who understand height safety and lifting gear. Where they stop: sign off, quarantine and the border crossing
Three gaps recur, and they are the three things an investigation asks about.
Sign off is not an asset record. The competent person sign off happens at the end of a build, under time pressure, on a dark stage, by someone doing three other things. Packaged inspection systems know the item was in date. They do not bind that item to this rig, at this venue, on this date, with the deviation from the design recorded and a photograph of the point attached. Without that binding you can prove a motor was in date and still not prove which motor was on which truss. The interface has to complete in under two minutes or it will not happen, and that constraint is a design problem specific to your rigs.
Quarantine has to travel with the item. A steel gets a nick during load out. On a good day it is tagged and pulled. On a bad day it goes back in the case because the truck is leaving, and it is used in the next city by someone who was not there. A defect raised from a phone must make the item unpickable everywhere immediately, not produce a report somebody reads on Monday. Most products treat quarantine as a status field rather than as a hard block on kitting.

A touring fleet crosses those lines every few weeks, and a single global interval setting is either too lax somewhere or expensive everywhere.
The arithmetic: per item pricing versus cost to build

How to decide in a week
Do not run a vendor comparison. Run the evidence test, which takes about three hours spread over five days and tells you more than any demonstration.
Monday: pick a show from eight months ago. Not a recent one. Ask for the rig as built, the gear used by serial number, the examination status of each item on that date, the calculation relied on and the name of the person who signed it.
Tuesday to Thursday: let people look. Do not help. Record where each fact came from and how long it took. Certification folder, design file, a photograph on somebody's phone, a memory.
Friday: count the gaps. If everything came back inside an hour from systems you already own, buy the inspection module you are missing and move on. If the sign off could not be tied to serial numbers, or a quarantined item turned out to have gone back out, or nobody could tell you which regime that fleet was examined under that month, you have a build case and a very clear scope for it.
