Healthcare software for clinics and hospitals in three packages

Software for clinic and hospital operations in three fixed-price packages: a two-week discovery that ends in a written scope, one staff workflow built, or a patient portal or telehealth MVP with written HIPAA safeguards. Built beside your EHR, never inside it.

§ 02 · overview

What these packages cover.

These packages cover the software that runs a clinic or hospital day to day and the screens patients use around a visit: staff rosters, leave and task tools, patient portals, booking and telehealth for one service line. They sit beside the EHR you already run. We do not build clinical EHR systems, EHR integrations, claims engines or medical-device firmware, and nothing in these packages writes into your chart.

Basic is the two-week discovery on its own, for a team that wants a written scope and a fixed bid before it commits a build budget. Standard builds one staff workflow that holds no patient records, such as rosters or leave approvals. Premium builds one patient-facing product that holds protected health information, with the safeguards written down for your counsel.

Staff tools of this kind are work we already ship: in 2026 we built the whole of Planivo, a workforce planning platform for clinics and hospitals, with rosters, leave approvals, training attendance and an audit history. Standard is one workflow of that kind, not a whole platform. Several sites, more roles or an iOS and Android app make a larger scope, which is quoted after a call.

§ 04 · scope

What is not included, and what we need from you.

Not included

  • Clinical EHR systems: charting, orders and the clinical record itself.
  • EHR integrations, including FHIR APIs and HL7 interfaces. Nothing we build writes into your EHR.
  • Insurance claims, medical coding, billing of insurers and remittance.
  • Medical-device firmware and diagnostic software.
  • iOS and Android apps. Every package is built for the web first, and an app is scoped and quoted separately.
  • Third-party charges for cloud hosting, video minutes, text messages, email and payment processing, billed to you by each provider.
  • Hosting, monitoring, security patches and fixes after handover, which are a separate monthly service.
  • A second site or workflow in Standard, or a second patient journey or visit type in Premium.
  • Moving records out of an old system, unless the written scope names it.
  • Legal advice. Your counsel decides whether HIPAA applies and what your BAAs must say.

What we need from you

  • A named person who runs the workflow today, with time for discovery and for each weekly demo.
  • Your current forms, rosters, spreadsheets or documents that show how the work is done now.
  • Cloud, domain and vendor accounts opened in your own name and on your billing.
  • A business associate agreement signed with your cloud host and every vendor that will hold patient data.
  • Your counsel's view on whether HIPAA applies, and their review of the safeguards list.
  • Made-up test records for the build, with no real patient data unless a BAA with us is signed first.
  • Your logo, brand colors and the wording patients and staff will read.
  • Decisions on the approval order, the roles and the reports, so the build is not left waiting.
§ · how delivery works

From payment to handover.

Every package follows the same five steps. The scope changes from Basic to Premium; the order does not.

  1. step 01
    Pay at checkout

You pay the package price in full through Stripe's secure checkout. If you would rather pay a deposit before work starts and then payments at agreed milestones, book a call instead and we set that up with you.

  2. step 02
    Kickoff call

Every order gets an email reply within 24 hours to book the kickoff call. On that call we confirm the scope of your package in writing. Work starts after it.

  3. step 03
    Build

Your project is delivered remotely by our engineers in Delhi and Lucknow, with leadership in New York. The delivery estimate for your package is on its card above. It is an estimate, not a deadline: your dates are confirmed in writing at the kickoff call.

  4. step 04
    Review and revisions

You review the work as it is delivered. Your package card says how revisions are handled: where it says they are agreed in writing, the rounds are set in the written scope at the kickoff call.

  5. step 05
    Handover

The finished work goes live or is handed over in the way agreed at the kickoff call.

Every package starts with the same two-week discovery. In Basic it is the whole package. In Standard and Premium it confirms the one workflow, or the one patient journey or visit type, and the build that follows usually takes us 8 to 12 weeks.

Once building starts, sprints run one to two weeks and you watch a recorded demo of working software each week. Sign-in, roles and the audit log are built first, and features go on top. The code goes into repositories and cloud accounts held in your name.

Some waits sit outside any developer's control, such as a video or text provider's BAA paperwork, and they can move the date. If our team will handle protected health information for you, Digital Heroes signs a business associate agreement with you before any of it reaches us.

§ · payment and refunds

Payment and refund terms.

Paid in full at checkout

Package prices are in US dollars and are charged in full at checkout. Stripe hosts the payment page, so your card details are entered on Stripe and never reach this site.

Prefer milestones?

For fixed-scope work we also bill a deposit before work starts, then payments at agreed milestones. To pay that way, book a call instead of checking out.

What the price covers

The package price is the total you pay us. We add no tax, fee or surcharge at checkout, and the amount Stripe charges is the price on the package card. It pays for our work only. Fees that other companies bill you directly, such as platform plans, app subscriptions, hosting, domains, store registration fees and payment processing on your own sales, are not part of it: the ones this package can involve are listed under not included. Your card issuer may charge its own fee for a payment in US dollars.

Refunds and cancellation

Our refund and cancellation policy applies to every package. You can cancel by written notice at any time: we stop work, deliver everything completed up to that point, and you pay for the work completed and in progress, as the policy sets out. A deliverable that misses its agreed acceptance criteria is reworked at our cost. To ask for a refund, email support@digitalheroes.co.in. We acknowledge the request within two business days, review it within five, and pay an approved refund within fifteen business days, back to the original payment method. Nothing here limits your statutory rights. Our terms of service apply too.

§ · questions

Questions before you check out.

What happens after I pay?

Every order gets an email reply within 24 hours to book the kickoff call. On that call we confirm the scope of your package in writing, and work starts after it with the two-week discovery. If you would rather pay a deposit and then agreed milestones instead of the full price, book a call before checking out and we set that up with you.

How long does each package take?

Basic is the two-week discovery sprint. Standard and Premium start with the same discovery, and the build after it usually takes us 8 to 12 weeks. More roles, a second site or a vendor's BAA paperwork add time, so the date for your project is confirmed in writing in the scope.

Can the scope change once work has started?

Yes, in writing. The package price covers the scope confirmed at kickoff and in discovery. Anything outside it, such as a second site, another visit type or an iOS and Android app, needs a written change request that states its cost and its effect on the date, and it only goes ahead if you approve it.

Who owns the code and the accounts?

You do. Under our master services agreement, the code, designs, copy and custom assets made for your project are assigned to you on full payment, and the work goes into repositories and cloud accounts held in your name. We keep reusable libraries and tooling that existed before your project, and the right to show the finished work in our portfolio unless you opt out in writing.

Are hosting, video, text message and payment fees included?

No. The package price covers our work. Hosting runs in your own AWS, Microsoft Azure or Google Cloud account on your billing, and video, text message, email and payment providers charge you directly. A provider's BAA can require a higher plan, which shows up in running costs. Discovery names every vendor, and whether it must sign a BAA with you before it holds patient data.

How do the packages handle HIPAA and patient data?

We write the safeguards down. Premium builds the five technical safeguards in 45 CFR 164.312 (access control, audit controls, integrity, person or entity authentication, and transmission security) and hands your counsel the written list. Standard holds staff data only. Digital Heroes signs a business associate agreement whenever our team will handle protected health information, and your cloud host signs its own. Your counsel confirms whether HIPAA applies to you.

What support do I get after handover?

Each build ends with a documented codebase and a handover, so your team is not locked out. Hosting, monitoring, security patches and fixes after that are a separate service billed monthly, and new features are scoped as their own work. Ask on the kickoff call or in the Live Chat, and the terms are agreed in writing before anything starts.

Can I get a refund?

Our refund and cancellation policy applies to every package, and the full text is on our refund page. You can cancel by written notice at any time: we stop work, deliver everything completed up to that point, and you pay for the work completed and in progress, as the policy sets out. A deliverable that misses its agreed acceptance criteria is reworked at our cost, and if it still fails after the agreed rework rounds, you can reject it and ask for a refund of the part of the payment tied to it. To ask for a refund, email support@digitalheroes.co.in. We acknowledge the request within two business days, review it within five, and pay an approved refund within fifteen business days, back to the original payment method. Nothing here limits your statutory rights.
