§ 02 · overview

What these packages cover.

Each package builds HR software around one shared employee record, so leave, attendance, onboarding, self-service, performance reviews, recruitment and payroll never disagree about who works where. Basic adds one module to that record. Standard is a first version with three modules, approval chains and single sign-on. Premium is a five-module system that connects to your payroll provider and your identity tools.

Most companies should configure an off-the-shelf HR suite before building anything. A custom build earns its cost when your pay, shift, leave or review rules do not fit a suite, or when per-employee licensing has outgrown a one-time build. Payroll tax calculation stays with your payroll provider; we build the workflow around it.

We have built this kind of system before. Planivo, the workforce planning platform for clinics and hospitals that we built in 2026, plans monthly shift rosters and routes each vacation request through three levels of approval, checking for clashes within a specialty.

§ 04 · scope

What is not included, and what we need from you.

Not included

  • Payroll tax calculation and filing. Your payroll provider stays the authority for both; Premium connects to it rather than replacing it.
  • Fees charged by third parties, such as hosting, your payroll or identity provider, e-signature, and email or SMS sending. You pay those directly.
  • Cleaning and migrating historical records, such as years of past leave or pay history. Importing your current employee list is included.
  • Native iOS or Android apps and clock-in kiosks. The system runs in desktop and phone browsers.
  • Several legal entities with different payroll rules, or payroll calculated in custom code instead of by a provider. Book a call to scope these.
  • Employment law, tax or legal advice. We build the rules you give us, and your HR adviser or counsel confirms them.
  • Ongoing support, hosting management and new modules after handover. These can run as a separate monthly retainer.
  • Work outside the scope confirmed at kickoff, which goes through a written change request with its cost and its effect on the date.

What we need from you

  • One person on your side who decides HR rules and signs off each module, with time each week for the demo.
  • Your HR policies in writing: leave and accrual rules, overtime and break rules, approval chains, and the exceptions.
  • An export of your current employee list, with positions, managers and locations.
  • A cloud account in your company's name for hosting, or approval for us to open one in your name.
  • Admin or API access to the systems we integrate with, such as your identity provider or payroll provider.
  • HR staff and a few managers or employees to test each module before it goes live.
§ · how delivery works

From payment to handover.

Every package follows the same five steps. The scope changes from Basic to Premium; the order does not.

  1. step 01
    Pay at checkout

You pay the package price in full through Stripe's secure checkout. If you would rather pay a deposit before work starts and then payments at agreed milestones, book a call instead and we set that up with you.

  2. step 02
    Kickoff call

Every order gets an email reply within 24 hours to book the kickoff call. On that call we confirm the scope of your package in writing. Work starts after it.

  3. step 03
    Build

Your project is delivered remotely by our engineers in Delhi and Lucknow, with leadership in New York. The delivery estimate for your package is on its card above. It is an estimate, not a deadline: your dates are confirmed in writing at the kickoff call.

  4. step 04
    Review and revisions

You review the work as it is delivered. Your package card says how revisions are handled: where it says they are agreed in writing, the rounds are set in the written scope at the kickoff call.

  5. step 05
    Handover

The finished work goes live or is handed over in the way agreed at the kickoff call.

At the kickoff call we confirm in writing which modules, approval chains and integrations your package covers. We build the shared employee record first and each module on top of it, with a recorded demo of working code every week so you can correct course early.

On Premium, payroll goes last because it depends on attendance and leave being trusted first. It runs beside your current payroll process before it becomes the system of record, so differences show up before anyone is paid from the new system.

At handover the code sits in a repository you own and the system runs in a cloud account in your company's name, with a runbook and admin training for your HR team.

§ · payment and refunds

Payment and refund terms.

Paid in full at checkout

Package prices are in US dollars and are charged in full at checkout. Stripe hosts the payment page, so your card details are entered on Stripe and never reach this site.

Prefer milestones?

For fixed-scope work we also bill a deposit before work starts, then payments at agreed milestones. To pay that way, book a call instead of checking out.

What the price covers

The package price is the total you pay us. We add no tax, fee or surcharge at checkout, and the amount Stripe charges is the price on the package card. It pays for our work only. Fees that other companies bill you directly, such as platform plans, app subscriptions, hosting, domains, store registration fees and payment processing on your own sales, are not part of it: the ones this package can involve are listed under not included. Your card issuer may charge its own fee for a payment in US dollars.

Refunds and cancellation

Our refund and cancellation policy applies to every package. You can cancel by written notice at any time: we stop work, deliver everything completed up to that point, and you pay for the work completed and in progress, as the policy sets out. A deliverable that misses its agreed acceptance criteria is reworked at our cost. To ask for a refund, email support@digitalheroes.co.in. We acknowledge the request within two business days, review it within five, and pay an approved refund within fifteen business days, back to the original payment method. Nothing here limits your statutory rights. Our terms of service apply too.

§ · questions

Questions before you check out.

What happens after I pay?

Stripe confirms your payment, and every order gets an email reply within 24 hours to book the kickoff call. On that call we confirm in writing which modules, approval rules and integrations your package covers, and work starts after it. If you would rather pay a deposit and then agreed milestones, book a call instead of checking out.

How long does each package take to deliver?

Our estimates are 3 to 8 weeks for Basic, depending on the module, with leave the fastest; 8 to 12 weeks for Standard; and 16 to 28 weeks for Premium, where payroll goes last and runs beside your current process before it goes live. The biggest factor on your side is how quickly you make decisions and give us access to the systems we connect.

What if my HR rules or scope change during the build?

Anything outside the scope confirmed in writing at kickoff goes through a written change request that states its cost and its effect on the delivery date, and nothing changes until you approve it. Policy values such as accrual rates or overtime thresholds are settings HR can edit, so changing a value within those settings needs no new release.

Who owns the code, the employee data and the accounts?

You do. Under our terms of service, the code we write for your project is assigned to you on full payment, the system runs in a cloud account in your company's name, and your employee data stays yours, with documented export paths. We keep only general reusable components and tools, and the right to show the work in our portfolio unless you opt out in writing.

Which costs are paid to third parties rather than to you?

The package price covers our work. Anything a provider bills is paid by you, directly to that provider: hosting and database, your payroll provider, your identity provider for single sign-on, e-signature, and email or SMS sending. Hosting cost grows with use, so we estimate it for your headcount before launch.

Can I get a refund?

Our refund and cancellation policy applies to every package, and the full text is on our refund page. You can cancel by written notice at any time: we stop work, deliver everything completed up to that point, and you pay for the work completed and in progress, as the policy sets out. A deliverable that misses its agreed acceptance criteria is reworked at our cost, and if it still fails after the agreed rework rounds, you can reject it and ask for a refund of the part of the payment tied to it. To ask for a refund, email support@digitalheroes.co.in. We acknowledge the request within two business days, review it within five, and pay an approved refund within fifteen business days, back to the original payment method. Nothing here limits your statutory rights.

What support do I get after the system goes live?

Handover includes a runbook and training for your HR admins, so your team can run the system day to day, and Premium adds written steps for taking it fully in-house. Ongoing support, compliance updates and new modules are not in the package price. If you want them, they run as a monthly retainer agreed separately.

Should I buy an off-the-shelf HR suite instead?

Often, yes. If a standard suite already models your leave, time and review processes, configuring it is cheaper and safer than custom code. A build earns its cost when your process is unusual, when a rule your jurisdiction needs is not supported, or when per-employee licensing across several entities has outgrown a one-time build. If you are unsure, chat with us before you check out.
