Custom CRM software in three packages

§ 02 · overview

What these packages cover.

Each package is a CRM built for your company on Next.js and React with PostgreSQL underneath. The data model is yours, and there is no fee per user. The three packages differ in how many teams, roles, integrations and old records they cover, because those set the work far more than the number of screens does.

Most teams should not build a CRM, and we would rather say so before you pay, so chat with us or book a call first. If your selling looks like everyone else's in your category, Salesforce or HubSpot is faster and cheaper. A build pays off when the process is part of why customers choose you, when seat fees at your planned headcount pass the cost of building, or when the CRM sits inside a product you sell.

Every package carries the same four controls: TLS for data in transit and encryption at rest in Supabase-hosted PostgreSQL, access rules enforced in the database with row-level security, an audit log of every change, and secret keys kept on the server, never in the browser.

§ 04 · scope

What is not included, and what we need from you.

Not included

  • Hosting, database and cloud bills. The accounts are opened in your name and the providers bill you directly.
  • Fees from other providers, such as email, phone, payment, chat or AI services, which bill you for their own use.
  • Seat fees for any platform you keep, such as Salesforce or HubSpot.
  • Native iOS or Android apps. Every package is a phone-friendly web app; native apps are scoped and quoted on their own.
  • AI assistance, such as reply drafts and thread summaries, which is scoped and quoted on its own.
  • Pipelines, roles, integrations or record sources beyond your package. Each needs a written change request with its cost and its effect on the date.
  • Single sign-on, client portals where outside users edit records, or a CRM built into a product you sell. These are quoted after a call.
  • Support and new features after handover, which run on a monthly retainer agreed separately.
  • Work toward a formal audit report such as SOC 2 or ISO 27001. We do not hold one.
  • CRMs that hold patient health information. That work runs under our healthcare software development service instead.

What we need from you

  • One person who can make decisions, with time each week to answer questions and approve the scope.
  • Your sales stages, the fields you track and who should see what, written down with the exceptions.
  • An export of the records you want to keep, from a spreadsheet or your current CRM, in the first week.
  • Admin access to every system the CRM connects to, such as your email, billing tool or website.
  • Code hosting and cloud accounts in your name, with your payment details on them, or approval for us to open them for you.
  • A real rep or two in the early demos, so their objections surface before launch rather than after it.
  • For Standard and Premium: each rep checks their own accounts in the migration rehearsal before launch.
§ · how delivery works

From payment to handover.

Every package follows the same five steps. The scope changes from Basic to Premium; the order does not.

  1. step 01
    Pay at checkout

You pay the package price in full through Stripe's secure checkout. If you would rather pay a deposit before work starts and then payments at agreed milestones, book a call instead and we set that up with you.

  2. step 02
    Kickoff call

Every order gets an email reply within 24 hours to book the kickoff call. On that call we confirm the scope of your package in writing. Work starts after it.

  3. step 03
    Build

Your project is delivered remotely by our engineers in Delhi and Lucknow, with leadership in New York. The delivery estimate for your package is on its card above. It is an estimate, not a deadline: your dates are confirmed in writing at the kickoff call.

  4. step 04
    Review and revisions

You review the work as it is delivered. Your package card says how revisions are handled: where it says they are agreed in writing, the rounds are set in the written scope at the kickoff call.

  5. step 05
    Handover

The finished work goes live or is handed over in the way agreed at the kickoff call.

Standard and Premium start with two weeks of discovery. We sit with the people who will use the CRM, map every system it touches, audit the records you want to keep and write the risks down. If discovery shows a packaged CRM would serve you better, we say so in writing, and you keep the documents either way.

From about day 15 the build runs in sprints of one to two weeks. Each week ends in a recorded demo of working screens, with a note on what shipped and what slipped. Work outside your package needs a written change request stating its cost and its effect on the date before anyone starts on it.

Records move into a test copy first and are checked against the source well before launch day. Our QA team tests every build before you see it, the launch has a rollback that has been tried, and the old system stays readable for an agreed period, so a failed check costs a day, not your records.

§ · payment and refunds

Payment and refund terms.

Paid in full at checkout

Package prices are in US dollars and are charged in full at checkout. Stripe hosts the payment page, so your card details are entered on Stripe and never reach this site.

Prefer milestones?

For fixed-scope work we also bill a deposit before work starts, then payments at agreed milestones. To pay that way, book a call instead of checking out.

What the price covers

The package price is the total you pay us. We add no tax, fee or surcharge at checkout, and the amount Stripe charges is the price on the package card. It pays for our work only. Fees that other companies bill you directly, such as platform plans, app subscriptions, hosting, domains, store registration fees and payment processing on your own sales, are not part of it: the ones this package can involve are listed under not included. Your card issuer may charge its own fee for a payment in US dollars.

Refunds and cancellation

Our refund and cancellation policy applies to every package. You can cancel by written notice at any time: we stop work, deliver everything completed up to that point, and you pay for the work completed and in progress, as the policy sets out. A deliverable that misses its agreed acceptance criteria is reworked at our cost. To ask for a refund, email support@digitalheroes.co.in. We acknowledge the request within two business days, review it within five, and pay an approved refund within fifteen business days, back to the original payment method. Nothing here limits your statutory rights. Our terms of service apply too.

§ · questions

Questions before you check out.

What happens after I pay?

You get an email reply within 24 hours to book the kickoff call. On that call we go through your stages, fields, roles and the systems the CRM must talk to, and confirm the scope of your package in writing. Work starts after it. Standard and Premium then begin with two weeks of discovery; Basic goes straight into the build. If you want a mutual NDA, we sign a one-page one once the call is booked.

Have you built a CRM before?

Yes, our own. Each conversation started in the chat on this website lands as a thread on that visitor's record in the CRM inside our ERP. We have no client CRM case written up yet. The closest client build is Planivo, a workforce planning platform for clinics and hospitals that we built end to end in 2026: not a CRM, but six roles that each see their own slice and an audit history of changes, the access model a CRM needs.

How long does each CRM package take?

Our CRM development page gives 8 to 12 weeks of build after a two-week discovery for a first version, the size of Standard, and 16 to 28 weeks for a production platform, the size of Premium. Basic has no discovery phase, so its dates are agreed in writing at the kickoff call. These are estimates: your dates are confirmed in writing, and how fast your side makes decisions and gives access moves them most.

What if I need more than my package covers?

Anything outside the scope confirmed at kickoff, such as another integration, more roles or a second source of records, needs a written change request stating its cost and its effect on the date before any work on it starts. If discovery shows the CRM you need is larger than Premium, we tell you so in writing and quote the build against what discovery found.

Who owns the CRM code, the data and the accounts?

You do. The code written specifically for your CRM is assigned to you on full payment, as our terms of service set out, apart from reusable libraries and tools we already had or built for reuse. The repositories and the cloud account holding the database are in your name and paid for by you, and our engineers work in them as collaborators you can remove. A written opt-out keeps your project out of our portfolio.

What will I pay other companies on top of the package price?

Hosting and the database are billed to you by the cloud provider, in an account in your name. Email, phone, chat, payment and any AI services bill you for their own use, and any platform you keep, such as HubSpot, keeps its seat fees. Plan for upkeep after launch as well: GoodFirms' 2026 cost survey puts it at 10 to 20 percent of the build each year.

Can I get a refund?

Our refund and cancellation policy applies to every package, and the full text is on our refund page. You can cancel by written notice at any time: we stop work, deliver everything completed up to that point, and you pay for the work completed and in progress, as the policy sets out. A deliverable that misses its agreed acceptance criteria is reworked at our cost, and if it still fails after the agreed rework rounds, you can reject it and ask for a refund of the part of the payment tied to it. To ask for a refund, email support@digitalheroes.co.in. We acknowledge the request within two business days, review it within five, and pay an approved refund within fifteen business days, back to the original payment method. Nothing here limits your statutory rights.

What support do I get after the CRM launches?

Every package ends with a handover: architecture notes, runbooks and a walkthrough for whoever runs the CRM next, so you can take it in-house. If you would rather we keep working on it, a named team can stay on under a monthly retainer, agreed separately from the package. New features after handover are quoted as new work.
